GENERAL MEMBERSHIP MEETING – October 09, 2012

General Discussion/Business:
  • Playoffs – 1st round will be week of Nov 11th with Championship game on Nov 17, 2012
  • Bi-County bowl if it happens will either be Dec 1, or Dec 8 – weight variances are still being discussed.
  • The club was approached by PFE and was asked if we would want to go in ½ with them to purchase a tunnel.  The idea was discussed and the board did not think this was the time to spend over $1,000 on a tunnel when other items were still needed.  – PFE has offered to rent the tunnel to HYC for homecoming and it was accepted.
  • Lacrosse – artwork/design of uniform was presented and approved, Alisa Brown would like to get a committee together for the planning for the upcoming season for lacrosse.  HYC will start out with boys only and ages 4-14.  Online registration for Lacrosse will begin Dec. 1st.
  • Cheer – Pep Rally was a huge success thanks to all the volunteers and our Cheer Commissioner Caryn for organizing the event and making it such a success. The food items donated almost doubled from last year and the event raised over $1,000 for the club. 
  • Homecoming – Julie Stephens presented the basic agenda for homecoming, date is Nov 3rd, we are looking for volunteers for the events during the day, email Julie or Wendy if you are able to volunteer.  HHS students might be able to assist with the moon bounce and earn credits for service.  We are looking into having programs for homecoming printed with the pictures of the teams and names of all the players.  Spirit wear items might be an option for homecoming-this is still being discussed.  We are looking for announcers for homecoming please contact Julie if interested.
  • Raffle tickets have all been delivered – an email will go out to parents explaining the raffle ticket process – many are still unclear that they have paid for the tickets and the money they raise from selling them is actually theirs.   Tickets should be turned in to a board member or at the field when they arrive that day.  Tickets are pulled starting as early as 9am – for more/best chances tickets should be in asap.
  • There are still pink socks for sale $5 a pair to support the fight against breast cancer.  Contact Erik, Randy or Barbara if you still need socks.
  • Basketball – Jeff Bagarus – county meeting was held and try-outs will be 11/26, 11/28 and 11/29 at PPMS from 6-8pm a complete schedule will be posted as soon as it’s provided.  Age groups are 9/10, 11, 12, and 13/14.  Basketball is open to Girls and Boys.  Practice will begin 12/03/12 with a Christmas Tournament held during the Holiday week.  Season begins Jan 5th.  Coach applications were submitted.
  • Open Board Positions – these positions will be voted on in December.  Positions open are Secretary/Webmaster and Football Commissioner. 
  • HYC is still looking for volunteers to help with fundraising, apparel, equipment manager and more. 
  • Discussion on how votes are earned and work – who gets votes etc.   Voting information is posted on website.  As of last night very few people had actually reported volunteer time/hours.  It is the persons responsibility to report to the club Secretary volunteer hours in order to be eligible for points for votes.  Last year the board allowed a grace period for understanding this process which will not be the case this year. 
  • Apparel – Apparel was discussed.  Realizing this year was/is a learning experience for everyone and with the change, new products and having no volunteers it is the consensus of those that attended the meeting that things went as smoothly as they could.    To date HYC has received one complaint and is working rectifying the issue.
